Bates Numbering Alternatives for Small Law Firms

In litigation, every page of evidence must have a unique identifier. This is known as 'Bates Numbering' (e.g., SMITH_0001, SMITH_0002). Enterprise legal software charges thousands of dollars for this feature. But for solo practitioners or small firms, this cost is hard to justify.

The 'Prefix' Strategy

You can replicate the Bates system using a standard Add Page Numbers tool which allows for a 'Prefix'.

  1. Merge all your exhibits into one file (or handle them binder by binder).
  2. Select 'Bottom Right' for the position.
  3. In the text field/prefix option, type your case ID or client name (e.g., 'EXHIBIT A - ').
  4. The tool will output: 'EXHIBIT A - 1', 'EXHIBIT A - 2'.

While this isn't strictly the 6-digit zero-padded Bates standard, it is widely accepted in lower courts and for internal organization/discovery exchange, solving the identification problem for free.
